Minutes Fall 2013 General Meeting

Ladies Interclub Tennis League Fall Meeting
August 19th 2013
President Sherry Butler called the meeting to order and introduced our new teams (Lifetime Fitness) and our new 4.5 Level Coordinator (Teri Lott). It was decided that everyone should introduce themselves, and everyone did so.
Tracy Crutchfield then called roll and those in attendance where; AVCC, Birchtree, Brookhighland RC, Highland RC, Hoover CC, Inverness CC, LJCC, Lifetime Fitness, Logan Martin, Mtn. Brook CC, Musgrove CC, Old Overton CC, PRC, PTC, Pinetree/MBST, Trussville RC, Trussville YMCA, Vestavia CC, Greystone YMCA, and Homewood Park. She then asked for a motion to accept and approve the minutes of the spring meeting, Julia Simpson made the motion, Betty Austin seconded and they were approved.
Julia Simpson then gave the Treasurer’s report and it is attached. She noted that we had voted to increase the dues and that we had purchased new rule books. Tracy Crutchfield motioned to accept the Treasurer’s report, Nancy Thomas seconded it and it was accepted.
Sherry then gave a report of the Officer’s meeting that was held. The budget was discussed and the increase in fees was implemented. Sherry stated that the increase in fees was to offset some of the cost of prizes and rule books. The sub rule was also discussed, and as per the approval of the league it has been changed to say “A sub may play 3 times for a team, and if the sub plays a 4th time, they will become a member of the team that they have subbed for”. Sherry also stressed that when in doubt about any rules; please consult your rule book or level coordinator. Our travel teams reported no issues this season with finding facilities, and were urged to prearrange any and all matches to avoid an issue.
Annemarie Wilson gave the VP Scheduling report. All schedules are in, but not considered final. She stated that Amy Browning was concerned about our lack of 2.5 and 3.5 teams, and what we can do to encourage play at those levels. At the current time we have 84 teams.
Annemarie Wilson then gave the Susan Briggs Tournament report. Our league awarded $4500. In scholarships in the spring to 5 young women! The dates of the tournament are October 7th-9th, and will again be played at Riverchase CC, Greystone CC, and Highland RC. Registration forms are in your packets and online. Volunteers are needed as are vendors and door prizes. Please contact the committee to help.
Vicky Marty then gave the Ethics Committee report. She asked everyone to please update club rosters. The sub rule was addressed again, and she reported about move down request. That report is attached. She stressed the importance of being involved and voting for changes to be made, and explained the procedure for rule and policy changes.
Annemarie Wilson then gave a report about the Love Love Tennis Tournament. This tournament benefits the Robert Reed Foundation for Cancer research. This is the 2nd year for this tournament and it will take place March 3rd-7th. She urged participation, and volunteering.
Sherry Butler then gave a report about the loss of our 2.5 and 3.5 divisions, and asked for input in to how to encourage play at those levels. She stated that our upper level divisions were growing at a nice pace, but is concerned about our lack of participation at the lower levels. Much discussion ensued about this issue. Days of play were discussed, and how maybe a change would open up more opportunities for play. It was decided to ask for input from the league as a whole and those in attendance and Sherry asked people to email her with suggestions.
Sherry then reminded everyone about the Awards luncheon which is always the first Monday of February, and how it was such a nice time for everyone to come together and celebrate our league, and to also see our Scholarship recipients.
Door prizes were then awarded and the meeting was adjourned.
